General Open Meeting Notes, April 5th

2014 Witches' Ball


-Food: Unfortunately, the catering contact we mentioned last month has fallen through. We are looking to hire a professional cook to help things run smoothly in the kitchen. S/he would be preparing food for 300 people. S/he would work for approximately 3-5 hours. Payment is negotiable. Please go to the “Contact Us” link on our website, www.tpbhs.com/, to recommend a cook you know or to inquire about being hired.


-Music: We may or may not be having Ginger Doss return this year. She has not given us a definite answer. Currently, we have confirmed Brian Henke, Wendy Rule, and the Live to Love Band. Morticia's Chair is still a possibility.


-Money: Currently in the kitty: $20. No ticket sales yet. If Ginger Doss does not come, we will have extra money to hire more help. In addition to a professional cook, we are looking to hire 2-3 more people to help for the night. As of now, we plan to ask Lindsay Stickler of the Gay and Lesbian Community Center to be our stage management assistant. Other hires would likely be banquet workers. -Tickets:

Changes have been made to ticket pricing. Modeling our decision after other Witches' Balls in the country, those present at the meeting decided to do the following:


There is now a special early bird price for tickets: $25. Only the first 125 tickets will be sold at this price.


After the first 125 tickets are sold, the ticket price will be $30.


If you wait to buy tickets at the door, they will be $35.


If you come to the Ball at 10:00 or after, the tickets will be $20. This is because there will be no more food being served. Kitchen staff will be cleaning up at this time.


Children under 12 tickets remain at $8.00.

-Sponsors:

We are sending out the first wave of sponsor letters by the end of this month. We are making up our list of business contacts and will be dividing up the work of visiting local businesses after list is made. If you own a metaphysical or alternative health business in the area, you will likely hear from us soon.


-Press packets:

TBA. We will take care of press packets after the sponsor letters are done.


-Hotels:

There is a list of local hotels within 10 miles of the Ball location at www.tpbhs.com/. Click “Notes and Blog” and then look for “Witches Ball 2014: Helpful Information.” We will be only reserving rooms for our entertainment and a small number of people coming to the Ball from out of the tri-state region (and out of the country!) at Steubenville Pike Comfort Inn Suites.


-Vendors and Readers:

We now have 2 vendors signed up. Vending space is extremely limited. No spaces are reserved without payment and application! If you want to sell your wares or offer healing services, you absolutely must send payment with an application. We do not play favorites.


-Fundraisers:

Jeamour is putting together a guest speaker event for us hopefully sometime this month. Details TBA.


-Volunteers

We decided that when becoming a member on the Meetup site, it would be good to have the volunteer positions listed/group needs listed. That change will be implemented soon.


*If you are interested in helping make this year's Ball a success, please contact us via www.tpbhs.com/ . We are looking for reliable, focused people to be:


A Dining Area Manager and a Beverage Manager: These people will make sure everything is clean, stocked, well displayed, and smooth running in their designated areas;


The Kitchen Staff is currently Je'Amour, Chris, and Renzy. Our duties will depend on a caterer or lack thereof. We could use a back-up hand to help with prepping, watching the timers and pots, and cleaning up;


Assistants to the Security Manager (Fred): These people will make sure everyone is on their best behavior. They will be on the lookout for any weapons, alcohol, drugs, or inappropriate behavior. They reserve the right to remove anyone who does not comply with the Ball's rules.


Decorators, Setup Crew, and Tear-Down Crew: These people carry big items, get on ladders, clean up unidentifiable substances, sweep, scrub, hook, tape, and sweat. They are the backbone of the Ball and they are much needed;


An Accessibility Manager: Our venue, Teamster's Local 249, is fully accessible to those with disabilities. This person will be the contact for anyone who would like assistance.



-Dress Code:

You may come dressed as *almost* anything. You do not have to wear a costume or magickal garb, though you are welcome to. However, you may NOT enter dressed as green hags or red devils. You will be turned away until you change your costume/clothing.



Non-Ball Stuff


-Coffee Meet'n'Greet:

The first one was successful and we all had a great time! The next Coffee Meet and Greet will be at the GLCC. We need to contact Lindsay at the GLCC to set a date and time.


-Herb studies: TBA


-Tarot studies: TBA


-High Tea:

Where: Dobra Tea Room in Squirrel Hill.

Time: 12:00 PM

Date: End of this month on a Sunday. TBA

Come in ritual/magickal garb!


-Morgantown PPD cabin:

We will be renting a cabin starting Sept. 12th and leaving on Sept 14th for Morgantown's PPD. We will be booking a cabin when reservations become open for that time frame. We are asking for $10 per person per night to sleep in the cabin with us. Please be willing to bring and share food as well. -Fae Fest:

The workings of a Fae Fest this year are beginning.


When: August 9th, 2:00-dusk.

Where: TBA. Idea: West Mifflin Social Club. Lots of parking; the Rose Barn in South Park.


Possible entertainment: Live to Love, Morticia's Chair for music. We are seeking fire breathers/dancers, jugglers, stage magicians, face painters, anyone who has a knack for carnival-style games and activities.


Food: Concession stand. Hot dogs, macaroni and cheese, picnic style. $5-8 for a plate.


Vending:

We are seeking 15-20 vendors and 5 readers/healers for this event.

Vending is $40 if you did not vend at last year's ball. It is $35 if you did.

Reader/healers: $50 if you did not vend at last year's ball. It is $45 if you did.

Next Full Moon Ritual: April 15th, 7:00 PM. 138 Sylvan Street, Verona.


Next General Meeting: May 10th. 7:00 PM. 1201 Yetta Avenue. Pittsburgh proper. We normally meet the first Saturday of every month. There is a change for May because of Grove of Gaia Fest on May 3rd.
